Document templates
GP Astra-owned PDF print layouts and email templates
Variables are escaped before insertion. Write them as {{name}}. Variables marked “block” insert a ready-made table or section (for example {{lines.table}} for line items).
Rendered preview
Users & access
Native GP Astra accounts and least-privilege roles
Role permissions
Summaries describe server-granted keys; the server remains the authority.
Number series
How new invoice and quote numbers are built. Imported numbers are never changed.
Tokens: {YYYY} year, {YY} two-digit year, {MM} month, {DD} day, {FY} financial year such as 2026-27, {SEQ:n} running number padded to n digits (exactly one, counted within everything before it). Letters, digits, slash and hyphen only; a rendered number may be at most 16 characters.
Supplier profile
Printed on every document. The state is taken from the GSTIN.
Letterhead and signature
Images printed on every document. PNG or JPEG, at most 2 MB each. Stored in the database, never in a list response.
Letterhead / header artwork
Authorised signatory's signature
Reference fields
Read-only list. Labels, order and “show on PDF” are fixed in this release.
Audit log
Append-only record of sign-ins, changes and exports. Newest first.
GSTN Returns Offline Tool
Prepare GSTR-1/IFF section CSV files for import into the official offline utility. GP Astra never uploads or files a return.
Prepare return files
Select the reporting period and download section CSV files.
Validate a section CSV
After importing the CSV into the GSTN tool, validate the same section file against its GP Astra export snapshot.
Return of a period
Every GSTR-1 table the app holds documents for, as section CSV files and as the one JSON file for upload on the GST portal. Preparing files never files anything; nothing is prepared for a past period unless you ask for it here.
GSTR-3B working paper
Tables 3.1 and 3.2 from the invoices, notes and advances of the period. Input tax credit and the other purchase-side tables are not in this app yet.
Recent exports
Export snapshots and checked section files
Reports
Receivables ageing, sales and tax summary, in rupee equivalents. Drafts, cancelled documents and invoices excluded from totals are left out.
Notes on this report
Return periods
What the monthly run prepared for each return period: files, check list, review trail and notes. Nothing here files a return; the portal stays the authority.
Period record
Check list
Files of this record
Kept as they were generated, each with its checksum. A later run of the period is a new version.
Review and filing
Filing it yourself
Notes on this period
Recurring invoices
A profile creates a draft invoice on each due day. A draft is issued by a person unless the profile says otherwise.
Approvals
Actions that wait for an administrator. Nothing of a waiting action is issued, recorded, printed, archived or mailed.
Automation settings
Everything here is off until you switch it on. Jobs run in the company's time zone.
Jobs
Each job can be switched off, moved to another time and run by hand. "Try" shows what a run would do and changes nothing.
Mail log
Every message handed to the mail relay: who it was meant for and who received it.
API tokens
A token lets one named integration call /api/v1 with the permissions of a role (never those that manage users, tokens, settings or automation) or with a list of permissions. It is shown once, when it is made.
Copy this token now. It is not stored and cannot be shown again.
Webhooks
GP Astra tells another system when something happens. While delivery is switched off nothing leaves this server: events are recorded as "held".
Copy this signing secret now. It cannot be shown again (a new one can be made).
Deliveries
Every event for every endpoint, with each attempt.
API description
Every route of /api/v1 with the permission it needs. The same description, for programs: /api/v1/openapi.json.
Import from CSV or Excel
Upload, map the columns, look at the dry run, then apply. Nothing is changed before "Apply". A row that is already there is skipped, so the same file can be run again.
Import
Imports so far
Each upload with its state and its report.
Edit log
Every change to a financial record: who, when, which record, and each field before and after. It cannot be switched off, and no entry can be changed or removed. Each entry carries the hash of the one before it.
Stock
What is in stock and what it cost: the stock ledger, opening stock, adjustments, counts and the stock reports.
Choose a row to see the ledger of that item.
Only goods are kept in stock. An item that is kept in stock moves with invoices, purchase bills, credit notes with goods returned, adjustments and counts, from the stock start date on.
Import opening stock from a file
A CSV or .xlsx file (at most 2 MB) with the columns "Item code", "Quantity", "Unit cost", "Date". "Check file" is a dry run: nothing is entered until "Import" is pressed twice.
One opening balance per item. A wrong one is reversed in the Ledger tab and entered again.
Or type what was counted
Only the rows with a counted quantity are compared with the books.
Proposed adjustments
Low stock
Stock valuation
Slow-moving stock
Off: no document moves stock and no other screen changes.
Nothing is back-filled: documents dated before the start date never move stock; enter what was in stock on that date as opening stock.
Purchases
Vendor bills and expenses without GST, the vendors, and what is owed to them. A bill is a draft until it is recorded.
An expense head says what a bill line was for. Its cost class decides the column of the profit report: Goods (hardware) or Other.
A job collects the invoices and the costs of one piece of work. An invoice counts for one job only.
ITC register
The input tax on the recorded bills of one month, line by line, with the treatment proposed or chosen for each line.
The treatment of each line is a proposal that a person confirms; this register does not decide whether a credit can be claimed. Nothing is reversed automatically.
Adjustments made by hand
A closed month takes no new bill, no change of treatment and no adjustment until it is reopened.
GSTR-2B
Import the statement you downloaded from the portal, then see where your books differ from it.
The GSTR-2B on the GST portal is the authority. This page only shows where your books differ from the statement you imported; it does not decide whether a credit can be claimed.
Decisions made by hand
GSTR-3B working paper
The outward figures of GSTR-1 beside what the purchase bills and the imported GSTR-2B say.
A working paper, not a return. The GST portal is the authority: the outward figures are locked there to GSTR-1, Table 4 is pre-filled there from GSTR-2B. The credit shown here is what your books propose; have your CA confirm it before you file.
Monthly period record
Whether the files of this working paper are added to the period record that wave 5 prepares.
TDS payable
Tax deducted at source on vendor bills and payments, as it was recorded, by quarter and by section.
By quarter and section
Register
Profit
Revenue of issued invoices against the cost of recorded bills and expenses, per client or per job.
Not linked
Bank
Bank accounts, their statements, and which statement line stands for which payment in the books.
Statements uploaded so far
Statement lines not matched
In the books, not matched to the bank
Books settings
The dated figures the books side works with: tolerances, day limits, blocked-credit categories and TDS categories. Each row is in force from a date; a row without a value is "not set", and nothing is proposed or warned from it.
